General duties of an office clerk of administrative functions.
Being an office clerk, your duties would include typing or word processing. You could be typing letters, memos, sending email messages, and mail outs. A sound knowledge of computer software is vital as an office clerk.
You may have to do filing, such as creating files and storing files. Some filing systems are alpha, numeric and alpha-numeric. There are also BF systems or bring forward systems, where something is filed to a later date, and brought forward when needed.
Your duties could include opening mail, and distributing mail to staff. You might have to date stamp the mail and record the mail into a software system or written in a binder. When distributing mail you may be filtering the mail as well, for example if there is some junk mail you would not hand it to people you would recycle it.
You may have to answer phones, but these duties are generally for a receptionist, but you may have to replace someone during their lunch break, for example, or answer phones from your office and your supervisors' office, screening your supervisor's calls. You would be taking messages and taking action if needed.
You may be in charge of keeping phone lists up to date, for your staff. You might have to look after telecommunications as well, such as finding out telephone numbers of empty office telephones, or keeping track of long distance and phone records.
